Job Description:

This position provides administrative assistance to the chair. This includes but is not limited to responsibilities such as managing calendars, composing correspondence, editing presentations, handling travel arrangements, and all events for the chair including conferences, meetings, seminars and retreats. Serves as a liaison for the chair’s office through correspondence, phone, and in-person contact.

Coordinates a wide variety of projects such as events, conferences, and meetings, including the monthly departmental faculty meetings. Attends these and other meetings with Chair, taking notes, compiling data, and distributing to appropriate staff after meeting. Follows-up on projects mentioned in meeting.

Responsible for creation, organization and maintenance of the departmental website. This position will coordinate and assemble the Educational Training Program applications (T32 grants) and is responsible for working with NIH staff to populate the NINDS Training Tracking System and keeping this data updated.

Assists Search Committee Chairperson for all Faculty recruitments. This involves preparing correspondence to candidates, scheduling meeting dates and times, coordination of lodging, meals and seminars related to recruitment. Prepares all paperwork for any reimbursements due the candidate pertaining to the interview process.

Assists Faculty in the preparation, formatting, and submission of Promotion & Tenure and Mid-Career Review Packets. This involves collection of data, complying, editing and inputting data into the proper format.

Provides editorial assistance to the chair for grant proposals and manuscript submissions. This includes the assembling of information and placing the document in proper format and ensures that all instructions from agencies have been met.

Creates and edits correspondence and reports of a confidential nature. This includes annual faculty performance evaluations, budget reports and departmental salary information for the chair.

Creates or maintains department filing system and workflow and maintains confidential information.

Assists Director of Administrative Services with record retention requirements and in arranging work orders for maintenance of the Departmental office area and conference room.

Advertised Salary:

$16.00 - $19.00 per hour, commensurate with education and experience

Minimum Requirements:

A high school diploma and four years of appropriate experience. Appropriate college course work or vocational/technical training may substitute at an equivalent rate for the required experience.

Attainment of a score of at least 35 cwpm on an approved typing test.

Preferred Qualifications:

Ability to communicate effectively with Chair and faculty.

Ability to determine work priorities and insure proper completion of work assignments.

Knowledge of correct English spelling and grammar usage.

Must be self-motivated and able to work independently.
