We are currently looking for an Administrative Assistant who shares our passion and enthusiasm in supporting the legal needs of BSHS Division. This is a new position that has been added to help support a fast-paced and growing division of the company.


Legal Administrative Assistant to support Marlborough-based Legal Department consisting of approximately 4 attorneys and 3 paralegals. This role will report to the VP and Assistant General Counsel but will support and interact with a diverse group of individuals from all levels of the organization.

Essential Duties and Responsibilities

  • General administrative support for Marlborough-based legal team:

  • Assist with drafting of standard legal agreements (e.g. complete data fields in template agreements) and editing of other documents/correspondence as needed

  • Assist with collection of signatures on documents

  • Assist in compiling/copying multiple legal packages as needed

  • Handle travel arrangements

  • Track and submit travel expense reports for attorneys and paralegals

  • Manage and order office supplies

  • Budgeting and Billing:

  • Review, track, code and process Legal Department bills (includes outside counsel and various vendor invoices)

  • Contact outside counsel and other vendors to resolve billing discrepancies as required

  • Assist with legal correspondence :

  • Sort and distribute mail for team

  • Prepare/send Federal Express packages as required

  • Provide assistance with related administrative tasks

  • Manage filing of legal documents:

  • Entry of contracts into legal contracts database

  • Entry database management/tracking

  • Create/manage department files

  • Manage shipment of files to off-site document storage (Iron Mountain)

  • Identify and implement filing system process improvements

  • Assist with management of Legal Department intranet page, i.e. post relevant documents, bulletins and other updates as required

  • Liaison with administrative assistants in San Diego and Belgium, as well as the Executive Assistant of General Counsel, to ensure smooth and consistent operation of company Legal Department.

  • Minimum two to four-year college or university degree


  • Minimum 5 years related experience and/or training (in-house at a publicly traded company preferred)
