Kelly Services Administrative Assistant for C-Level Executives in Pflugerville, Texas

Job Description

We have a client in Pflugerville looking an experienced Administrative assistant who has worked for C-Level Executives/Manager. This candidate needs to have a strong administrative background however they will also be the full-time receptionist.

This position will be a temp-to-hire opportunity for the right candidate and the hours are Monday - Friday from 8 a.m. to 5:00 p.m. with a one-hour lunch.


Job Duties:

  • Must be able to support C-level executives and managers by:

  • Creating/updating/maintaining presentations, work charts and other related documents

  • Maintain calendars, schedule meetings and keep executives aware of changes to schedules, meetings, appointments, etc.

  • Make necessary travel arrangements to include car, hotel, restaurant reservations and more.

  • Preparing expense reports and other related business expenditures

  • Be able to run errands for the Vice-President

  • Other duties as assigned

  • Handle all receptionist duties to include:

  • Answer incoming calls and direct to appropriate party

  • Greet customers, visitors, vendors, suppliers and other individuals that may visit the facility for any reason.

  • Update the visitor board on a daily basis

  • File and maintain confidential documents, enter training records or other documents related to employees, and assist HR Generalist with various functions

  • Help facilitate monthly, quarterly and annual employee meetings

  • Stock and monitor drink inventory along with items used for employee meetings, i.e. plates, forks, napkins, etc.

  • Provide assistance to the HR department with other duties as assigned.

  • Must be highly proficient with MS Office to include PowerPoint, and be able to create spreadsheets, charts and graphs within Excel, and create slideshows within PowerPoint

  • Must be able to communicate effectively with employees at all levels, have excellent communication skills both written and oral, and must be able to adapt to changing situations.

  • Imperative to show up to work on time each day and have a set schedule for lunch.
