JOB DESCRIPTION

A Product Line Administrator shall be responsible for support of a personnel database and assistance to a Department Manager in keeping work schedules, scheduling field projects and related logistics administrative activities. Administrator shall properly and timely provide administrative management to set up work tasks, interact with regional and site offices for coordination and collection of information required for a Production Manager and regional office. He/she shall update work records and databases to reflect any changes in team composition, transportation routes and professional training dates as appropriate.

MAIN RESPONSIBILITIES:

  • At the end of a month submit time sheets and a list of bonuses for employees of Product Line Department under the direction of a Department Manager; prepare individual time sheets for every employee of Product Line Department;

  • Annually provide a leave schedule for employees of Product Line Department under the direction of a Department Manager;

  • Control the Product Line Department employees to timely undergo annual medical examination;

  • Keep the minutes of daily work meetings of every Product Line Department in WPTS (Work Performance Tracking System);

  • Arrange HSE training (quality, health, occupation, safety and environment) for new employees of Product Line Department; control the expiration dates of the employees' training certificates and timely arrange their training;

  • Order any necessary PPEs for every employee of Product Line Department for every season by submitting appropriate order request to JDE;

  • Interact with Business Trip Coordinators for approval of routes under the established procedure;

  • Inform a Product Line Department Manager on any changes in the number of employees under the established procedure;

  • Update company's resume for site employees of Product Line Department; fill in a resume according to a form required by a customer if the company participates in a bid;

  • Interact with site employees, Department Manager and Business Trip Coordinators to identify any transportation or communication problems;

  • Respond to phone calls, make copies and scans and distribute documents, and register any incoming and outcoming mail, and keep documents in appropriate files/folders;

  • Interact with Business Trip Department for ordering and booking local/international air/rail tickets for all employees of Product Line Department; perform all the terms and conditions of air ticket point of sale in order to book tickets and manage current booking process;

  • Interact with Business Trip Department for booking hotel rooms for employees of Product Line Department;

  • Contact and inform employees of Product Line Department on any changes in flight information; inform employees of Product Line Department on any changes in the company and on any announcements; collect the employees' information required by the field service management on employees' electronic mail or mobile phones;

  • Make and control JDE goods orders for Product Line Department;

  • Control and stock-take JDE assets as required for management of assets and stock-taking of Product Line Department;

  • Prepare and control JDE invoices based on the requests provided by field service management, and ensure timely delivery of the invoice to a financial department;

  • Assist in oral or written translation of documents of Product Line Department.
