Job Purpose

The purpose of this role is to ensure smooth operation of the RMS Zurich Office by providing Facility Reception, coordination and Administrative Support for the Zurich team (21 employees in total). Administrative Assistant services to Vice President & three (3) Senior Managers.

The role is initially on a 4 month part time contract with a view to turning full-time and permanent.

Office Facility Coordination and Administrational Duties

  • Manage postal, telephone, reception, and general office-wide administrational activities

  • Administer invoices and accounting documents, including liaison with the Accounting Department and INVICO, RMS’ payroll accounting company in Switzerland

  • Facility coordination, including liaison with the building manager

  • Order and manage office supplies and equipment

  • Provide support in the administration of internal and external (client) meetings and events/off sites

  • Bi-monthly Client Events (Power Hours) in the office for up to 20 clients

  • Larger events (1-2 a year) in the building or offsite for 60-70 people

  • Help Corporate Marketing with larger client conferences in Continental Europe

  • Select and book appropriate venues and services

  • Hotel/restaurant bookings for external visitors

  • Ensure adequate archiving of documents and data

  • Welcome and hosting of all visitors and clients

  • Maintain Zurich Office calendar, Wiki and Inside RMS Office pages

  • Facilitate RMS CCRA exams taken by clients and RMS staff in the Zurich office

  • Coordinate internal personnel matters, such as assistance in onboarding new hires

  • Liaising and ensure compliance with the Swiss health and safety regulations

  • Office First Aider and Safety Representative

  • Other tasks as required

Administrative Assistant Duties to Vice President and x 3 Senior Managers

  • Assist with:

  • Travel arrangements

  • Schedules and appointments

  • Expenses and expense report

  • Other administrational tasks, including PR’s.

Personal Qualities and Job Duty Requirements

  • Strong organizational skills, ability to prioritize and multi-task

  • Ability to meet deadlines and ensure high quality delivery of tasks

  • Exceptional customer-service skills and effective communication both verbally and in writing

  • Fluent in English and German

  • Ability to work independently and with limited supervision

  • Proficient in MS Word, MS Excel, MS PowerPoint and Outlook

  • Enthusiastic, highly motivated, and able to take initiative

  • Team player

  • Flexibility – and a sense of humor

Desired Skills

  • KV Diploma

  • Minimum 2 – 4 years’ experience in a similar role
